  Setup Walk Thru


Step 1. Read the license agreement, terms and conditions and any other documents.

Step 2. Install the software.

Step 3. Register the software.

a) Connect to the Internet.
b) Click on the "Info" tab in your vending software.
c) Click on the "Register" button.
d) Complete the on line registration form.
or
a) Complete the registration card included with the software.
b) Mail it to the address on the front of the card.

Step 4. Activate your registration.

a) Click on the "Info" tab in your vending software.
b) Click on the "Activate registration" button.
c) Enter your name or company name and serial number.
d) Click the "Save And Close" button.
e) The next time you restart the software your registration will become activated.

Step 5. Familiarize yourself with the software.

a) Start with each tab and click on each button in the software.
b) Pay special attention to the results that you see in the forms and reports so you have an understanding as to how the software processes data and reports.

Step 6. Configure the software for your needs. This software is designed to accommodate almost every type of vending business. If any of the configurations do not apply to you, you should still preview them for future reference.

a) Select the "Setup/Maintenance" tab in the software.

b) Select the "Company Set Up" button. Fill out the form and select "Save and Exit".

c) Select the "Suppliers" button. Enter your suppliers information and click the "Add Supplier" button and continue until you have all of your suppliers entered, then close the window.

d) Select the "Product Types" button. Add or remove the product types that you want the software to use. Close the window when you are finished.

e) Select the "Products" button. Add or remove the products that you want the software to use. Close the window when you are finished.

f) Select the "Adjust Inventory" button. Select the appropriate product ID and add the quantities in units that you have in stock. Do this for all of the products that you have in inventory. Close the window when you are finished.

g) Select the "Customers" button. Add all the customers where you have your machines located. Close the window when you are finished.

h) Select the "Charity" button. Add all the charities that you pay commissions to from your machines. Close the window when you are finished.

i) Select the "Tax IDs" button. Create all the tax IDs that you require. It is best to try and incorporate the year for the tax ID, as they will most likely change in time. Close the window when you are finished.

j) Select the "Expense IDs" button. Add or remove all the Expense IDs that you require. Close the window when you are finished.

k) Select the "Routes" button. Add or remove all the routes that you require. Although routes can be created with any name you choose, postal/zip codes are an excellent way to name your routes. Close the window when you are finished.

l) Select the "Validators" button. Add all the validator mechanisms you have (if any). Close the window when you are finished.

m) Select the "Changers" button. Add all the changer mechanisms you have (if any). Close the window when you are finished.

n) Select the "Machine Flags" button. Add or remove all the machine flags that you require. Machine flags provide you with a flexible search method that you choose to locate machines by such as Machines For Sale. Close the window when you are finished.

o) Select the "Machines" button. Add all the vending machines that you have. Close the window when you are finished.

p) Select the "Machine Heads" button. Add all the vending machine heads that you have. Close the window when you are finished.

Step 7. Delete the sample data:

IMPORTANT NOTE! - You must leave at least one record in every form! If any records do not apply to your application create at least one blank record for each before removing the sample data or leave one of the sample data records. Failure to do so will result in a failure to open a form that accesses a table that has no records.

Congratulations, you have now successfully configured the vending software and it is now ready to use.

During the initial use of this software you may want to track and verify the way the software processes and generates your data to be certain that the results you receive are correct and suitable for your needs.

  Known Issues


1) IMPORTANT NOTE! - You must leave at least one record in every form! If any records do not apply to your application create at least one blank record for each before removing the sample data or leave one of the sample data records. Failure to do so will result in a failure to open a form that accesses a table that has no records.

2) Vending products often cost an uneven amount of money. Example 1000 Bubble gum for $5.00 is 1/2 a cent each. With currency standards there is no accommodation for $0.005 so values get rounded off. This software is designed to accommodate this limitation by allowing fractions of a cent to be entered. With this comes the draw back that when you perform total summaries over a period of time, calculations don't get rounded off the same.

Example:
- In one collection you sold 50 pieces of gum.
- If each piece sold for 10 cents you would have a gross of 5.00 dollars.
- Assuming each piece of gum cost you half a cent each your cost on this would be 25 cents; therefore your profit would be $4.75.
- Applying a tax of 10% would come to $0.475, which would be rounded off to $0.48.
- If you had the same sales in the next collection your tax would be based on $9.50, which comes to $0.95

As you can see from the above examples there is a difference of 1 cent.

Over a period of time this can add up. This software was designed to minimize this problem, in order to provide you with more flexibility over the cost of products. It is still likely for the results to be slightly off.


3) After entering data you must close and reopen the form to update the window.

4) NT and Windows 2000 Installation - You must create the folder C:\Program Files\ if it does not already exist. When installing the vending software be sure that the install path is C:\Program Files\vend. Installing in a location other than this will result in important software options and features to not function.

5) Barcode font may need to be installed manually from the CD due to a bug in some windows versions.

6) All barcode data must be entered in uppercase.

7) Barcode functions require a high quality laser printer and barcode scanner.

  Important Tips


1) If your machine dispenses more than one product simply create a machine ID for each product that is appropriate. Example: Your machine has 3 products create IDs like SampA-1, SampA-2, SampA-3.

2) Units. A unit is based on what the machine dispenses. Example If Sodas are sold one at a time this would be one unit. If gum were sold 2 at a time 2 would be one unit. If 10 ounces of peanuts were sold at one time 10 ounces would be one unit.

3) Converting to units. Weigh or count approx 10-20 vends and average them out. To calculate the number of units per case, divide the case weight or count by the average.

4) Accommodates machines with unlimited number of products. Simply assign a new machine ID for each product.

5) Use extreme care when deleting data. By popular request this software provides total flexibility in configuration as well as data. With this comes the possibility to delete or modify data that could produce undesirable or inaccurate results. Use extreme care when making any changes or deletions. After making changes test the program to assure all calculations and reports are correct.

6) IMPORTANT! - Remove all sample data before using this software. Failure to do so will result in accurate results.

7) Read thru the entire help guide. This provides you with details on every field and button.

8) Right clicking the mouse opens a menu of useful options for each form and report.

9) Using basic computer skills such as "cut" and "paste" will save you a lot of time and effort.
10) Barcode functions - If you plan to use the barcode scanner functions you must meet the following requirements:.

A) High Quality Printer.
B) High Quality Barcode Scanner.
C) All Data must be alpha numeric and in upper case.

  Collection


Date - Enter the date that the collection was made on.
Machine ID - Select the machine that the collection is for.
Meter Reading - Enter the meter reading from the machine for this collection.
? Button - Launches Help Tip.
Customer ID Grey - Displays the customer ID that corresponds to the machine selected.
Customer ID White - Paste the customer ID from the previous grey field.
Product ID Grey - Displays the product ID that corresponds to the machine selected.
Product ID White - Paste the product ID from the previous grey field.
Fills - Enter the number of units it took to fill the machine on collection.
Spoilage - Enter the number of spoiled products collected from this machine.
Collected - Enter the total amount of money collected from this machine.
Refunded - Enter the amount of money refunded to your customer for faulty vends.
Gross Grey - Automatically calculates your gross collection for you.
Gross White - Paste the results from the previous grey field here.
Cost To Refill Grey - Automatically calculates the cost to refill the machine.
Cost To Refill White - Paste the results from the previous grey field here.
Tax Red Arrows - Marks the appropriate tax row amounts to use based on your setup configuration.
Tax 1 Grey - Automatically calculates the amount of tax 1, based on what you assigned to this tax field in your configuration.
Tax 1 White - Paste the results from the corresponding marked grey field.
Tax 2 Grey - Automatically calculates the amount of tax 2, based on what you assigned to this tax field in your configuration.
Tax 2 White - Paste the results from the corresponding marked grey field.
Tax 3 Grey - Automatically calculates the amount of tax 3, based on what you assigned to this tax field in your configuration.
Tax 3 White - Paste the results from the corresponding marked grey field.
Tax Total Grey - Automatically calculates the total amount of tax.
Tax Total White - Automatically calculates the total amount of tax based on the previous tax entries.
Charity Grey - Automatically calculates the amount to pay the charity for this machine.

Commission Grey - Automatically calculates the commission to pay the customer for this machine.

Status Window - Provides status on inventory order, charity and commission payables.

  Route Maintenance


Current Route - Displays details of the route for the machine selected.
Route - Adds or Changes the route for the machine selected.
Route Order - Assigns a logical order in a specific route.
Customer ID - Displays the customers ID for the selected machine.
Comments - You can add comments to your routes.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.
Go To Collection # - Takes you to a specific machines route record.
Create New Route Additional Help Topic - Opens the route ID window to add a new route.
Close - Closes the route window.

  Create New Route


Enter the name of your new route - This can be any name you choose to call a route. It is recommended that you use a postal / zip code.
Select the week of the month - Select the week of the month you want this route to be maintained.
Select the weekday - Select the weekday you want this route to be maintained.
Undo - Eliminates any new changes or record modifications.
Delete this route - Deletes the selected route from the database. Before deleting or renaming a route it is important to first change all machines on the route to one that exists.
Add route - IMPORTANT You must select this each time you add a route to avoid changing an existing route.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.
Go To Route - Takes you to a specific route ID record.
Close - Closes the route ID window.

  Expenses


Expense # - Displays the selected expense ID number.
Date - Enter the date of the expense.
Invoice # - Enter the invoice number for the expense.
Check # - Enter the check number used to pay for the expense.
Supplier - Enter the name of the supplier that the expense is for.
Expense Type - Select the type of expense you are entering.
Description - Enter a short description for the expense you are entering.
Add Expense Type Additional Help Topic - Adds a new expense type for your drop down list.
Undo - Eliminates any new changes or record modifications.
Delete Expense - Deletes this expense from the database.
New Expense - IMPORTANT You must select this each time you add a expense to avoid changing an existing expense.
Amount Window
Amount - Enter the total price of the expense before taxes.
Tax 1 - Enter the total amount of tax 1 for expense.
Tax 2 - Enter the total amount of tax 2 for expense.
Tax 3 - Enter the total amount of tax 3 for expense.
Total - Displays the total amount of your expense including taxes.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.

  Add / Edit Expense ID


Add / Edit Expense ID - Enter or change the name for your expense ID.
Undo - Eliminates any new changes or record modifications.
Delete Expense ID - Deletes expense ID from database. It is important to change all expenses that relate to an expense ID that is to be changed or deleted to a new expense ID.
Add Expense ID - IMPORTANT You must select this each time you add a expense ID to avoid changing an existing expense ID.

  Charities


Charity ID - Displays the ID of the charity for the collection record you are on.
Description - Displays a description of the charity for the collection record you are on.
Rate - Displays the charity rate you have assigned to pay this charity in your configuration.
Collection Reference # - The reference number for the selected collection.
Reference # Column - The reference number for each collection row.
Rate Column - Displays the charity rate you have assigned to pay this charity in your configuration.
Date Column - Displays the date the collection was made on.
Commission Column - Displays the commission payable to the charity for collection row.
Charity ID Column - Charity ID for collection row.
Drop Down Selector Column - Changes status of the commission payable from "In Query" the default to "Paid". Once changed to paid the charity payable for this collection will be moved to "Paid Charities". IMPORTANT - after paying the commission to charity be sure to change this to "Paid" to avoid payment to the charity again.
Total Commission To Pay - Provides you with the total amount owing for all Query commissions to the selected charity.
To Charity - The name of the charity the total commissions are payable to.
Add To Expenses Additional Help Topic - Opens expense window to enter commission payment as an expense.

  Commissions

  Orders In Query


Supplier Details Window - This top window displays the suppliers details for the product selected in the collection.
Collection Reference # - The reference number for the selected collection.
Product ID - Displays the products ID for the selected collection.
Fills - Displays the number of fills in units for the selected collection.
Reference Column - The reference number for each collection row.
Order Column - The number of units used to fill machine for each collection row.
Product ID Column - Product ID for each collection row
Price Per Order Column - Total amount to refill the collection row.
Product SKU Column - Suppliers SKU to reorder products.
Order Status Column - Changes status of the order from "In Query" the default to "Ordered". Once changed to ordered the order for this collection will be moved to "Placed Orders". IMPORTANT - after placing an order be sure to change this to "Ordered" to avoid reordering again.
Total units to order - Displays the total number of units needed to restock your inventory.
Units per case - Displays how many units come to a case from your supplier.
Cost per case - Displays the cost per case.
Cases needed - Calculates how many cases are needed to reorder.
Recommended cases to order - Calculates how many cases are needed to reorder. This is rounded off to the nearest case.
Cases ordered - Enter the number of cases you decided to order.
Product SKU - The product SKU to reorder products from your supplier.
Approx. cost to restock - This is an estimated value since cost per unit may be in fractions of a cent.
Adjust query by - Button Additional Help Topic - This opens the query adjustment form to adjust for fractions of a case left over from order.
Adjust query by - IMPORTANT This number is calculated by the recommended cases to order. If you order the recommended cases and there is a fraction of a case left over either way. Select the adjust query button and paste this number in the adjust query by field in the query adjustment form. This will either add or subtract the fraction of a case to the next order.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.
Go To Collection - Takes you to a specific collection record.
Close - Closes the order window.

  Adjust Query


Product ID - Select the product ID for the inventory adjustment you need to make.
Date - Enter the date of the adjustment.
Adjust query by - Enter the number of units you wish to adjust the query by. This can be cut from the orders form if accessed from it.
Adjust query cost Grey - Displays the cost of the query adjustment to be pasted in the next field.
Adjust query cost White - Paste the previous grey field result here.
Undo Adjustment - Cancels the last change in this form.
Done - Closes collection query adjustment window.

  Back Orders


Supplier Details Window - This top window displays the suppliers details for the product selected in the collection.
Collection Reference # - The reference number for the selected collection.
Product ID - Displays the products ID for the selected collection.
Fills - Displays the number of fills in units for the selected collection.
Reference Column - The reference number for each collection row.
Order Column - The number of units used to fill machine for each collection row.
Product ID Column - Product ID for each collection row
Price Per Order Column - Total amount to refill the collection row.

Order Status Column - Changes status of the order from "Back Ordered" to "Received". IMPORTANT - after receiving an order be sure to change this to "Received" to correct your inventory.

  Placed Orders


Supplier Details Window - This top window displays the suppliers details for the product selected in the collection.
Collection Reference # - The reference number for the selected collection.
Product ID - Displays the products ID for the selected collection.

Order Column - The number of units used to fill machine for each collection row.

  Received Orders


Supplier Details Window - This top window displays the suppliers details for the product selected in the collection.
Collection Reference # - The reference number for the selected collection.
Product ID - Displays the products ID for the selected collection.
Fills - Displays the number of fills in units for the selected collection.
Reference Column - The reference number for each collection row.
Order Column - The number of units used to fill machine for each collection row.
Product ID Column - Product ID for each collection row
Price Per Order Column - Total amount to refill the collection row.
Product SKU Column - Suppliers SKU to reorder products.
Order Status Column - Changes status of the order from "Received" to a variety of choices. IMPORTANT - changing this from "Received" will have an impact on your inventory and may result in an accidental reorder.
Total units ordered - Displays the total units of product that were ordered.
Product SKU - The product SKU for the product.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.

  Paid Charities


Charity ID - Displays the ID of the charity for the collection record you are on.
Description - Displays a description of the charity for the collection record you are on.
Rate - Displays the charity rate you have assigned to pay this charity in your configuration.
Collection Reference # - The reference number for the selected collection.
Reference # Column - The reference number for each collection row.
Rate Column - Displays the charity rate you have assigned to pay this charity in your configuration.
Date Column - Displays the date the collection was made on.
Commission Column - Displays the commission paid to the charity for collection row.
Charity ID Column - Charity ID for collection row.
Drop Down Selector Column - Changes status of the commission payable from "Paid" to "In Query". IMPORTANT - Changing this from paid will cause a duplicate over payment to the charity.
Total Commissions Paid - Provides you with the total amount paid for all paid commissions to the selected charity.
To Charity - The name of the charity the total commissions were paid to.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.

  Paid Commissions


Customer ID - Displays the customers ID for the selected collection.
Description - Description of the customer
Rate - Displays the commission rate you have assigned to pay this customer in your configuration.

Drop Down Selector Column - Changes status of the commission payable from "Paid". IMPORTANT - Changing this from "Paid" will result in an over payment to the customer.
Total Commission Paid - Provides you with the total amount paid for all Query commissions to the selected customer.
To Customer - The name of the customer the total commissions were paid to.
Navigation Arrows - 1st Goes to first record, 2nd takes you to previous record, 3rd takes you to the next record, 4th takes you to the last record.

  Add / Edit Flags


Default White - The name of the flag you wish to edit or add. IMPORTANT change all machines flags to an existing flag before changing or deleting a flag.
Undo - Undo the last change to this form.
Delete Flag - Deletes this flag from the database.
Add Flag - IMPORTANT You must select this each time you add a new flag to avoid an accidental change or deletion to an existing flag.

  Product Details


Top Window - Shows details on all of your products. Selecting any line in this window will provide you with details in the lower window.
Lower Window:
Description - Enter a brief description of the product you wish to add or edit
Product ID - Enter an ID for the product you wish to add or edit. This can be anything you like.
Shelf Life - Enter the shelf life expected for the product.
Product Type - Select a product type from the drop down list.
Suppliers ID - Select a suppliers ID from the drop down list that you will be ordering this product from.
Suppliers SKU - Enter your suppliers SKU for ordering this product.
Cost Per Unit - Enter the broken down cost per unit for this product. A unit is equivalent to what is dispensed per vend. Example: Can drink would be one unit. Two pieces of gum that come out in one vend is considered one unit.
Case Price - Enter the price for a case of this product.
Units In Case - Enter the number of units per case. Example: a case of 24 drinks would be 24 units. A case of 5000 bubble gum would be 2500 units if dispensed two at a time.
Comments - Enter a comment for this product.
Refresh - Refreshes the form after an entry or change.
Delete Product - Deletes product from database. IMPORTANT Be sure to change any machines products to one that exists before changing or deleting a product.
Add Product - IMPORTANT You must select this button before adding a new product to avoid accidentally changing or deleting an existing product.
Close - Closes the products window.

  Tax Details


Top Window - Displays tax ID and details.
Edit Tax ID Additional Help Topic - Opens the tax record selected from the above window to edit or remove.
Add / Remove Tax Additional Help Topic - Opens tax add / remove form. IMPORTANT Changing or removing a tax ID may have an effect on some reports. It is recommended that you add a new tax ID if your needs change. Example: If your tax for Manitoba changed for 2001 you may want to create a new ID called MB2001 and leave the original MB.
Close - Closes the tax details window.

  Tax Details Window


Tax ID - This can be any thing you like. We suggest that you use a state or province abbreviation combined with the effective year since most taxes are based on these regions and the year will provide you with a quick reference.
Description - Enter a brief description for the tax ID. Example: CA2001 could be California 2001
Method of calculating taxes - Select the method used for calculating taxes for this tax ID.
Tax Rates:
Tax 1 - The rate for whatever you decide tax 1 is to be used as. This could be state / province, Entertainment Tax, etc..
Tax 2 - The rate for whatever you decide tax 2 is to be used as. This could be state / province, Entertainment Tax, etc..
Tax 3 - The rate for whatever you decide tax 3 is to be used as. This could be state / province, Entertainment Tax, etc..
Undo - Undo the last change on this form.
Delete Tax ID - Deletes the selected tax ID from the database. IMPORTANT Changing or removing a tax ID may have an effect on some reports. It is recommended that you add a new tax ID if your needs change.

City - Enter the city that the customer is located in.
Province / State - Enter the province or state that the customer is located in.
Postal / Zip - Enter the postal or zip code for the customer. Which ever applies to your country.
Phone - Enter the phone number for your customer.
Fax - Enter the fax number for your customer.
Contact - Enter the contact name for your customer.
Comments - Enter a brief comment about this customer.
Undo - Undo the last change you made to this form.
Delete Customer - Deletes this customer from the database. IMPORTANT Before deleting or editing a customer ID you should reassign any machines that are located at this customers location to another customer that already exists.
Add / Edit Customer - IMPORTANT You must select this each time you add or change a customer to avoid accidentally making changes to the wrong customer.

  Product Types


Product Type Window - Displays the product types you have configured in the database.
Refresh - Refreshes the above window.
Modify Products - Displays the product type for selected record and or add a new product type.
Add / Edit Product - IMPORTANT you must select this before adding a new product type to avoid an accidental change to an existing product type.
Undo - Undo the last changes to this form.
Delete Product - Deletes the selected product type from the database. IMPORTANT You should change any machines that have reference to this product type to a different product type before deleting it.
Close - Closes the product types window.
